This Privacy Statement (“Statement”) applies when you visit our website or when you request a quote and/or enter into an agreement on our website.

Who is responsible for processing your personal data?

1.1.1 To be able to accept you as a customer.

What does this goal mean?

We collect information when you request a quote on our website.

What personal data do we process to make a quote correctly? For this purpose, we collect your first and last name, address (in the Netherlands), telephone number, email address.

If you agree to the quote, we will also collect for the purpose of the agreement: your valid driver's license (country of issue, number, expiration date), authorized signatory, delivery address or pickup location, transaction data (such as order, amount (s) to be paid, date of payment), your bank account number and the direct debit that you issue to VWP Shortlease. VWP Shortlease has the options to request additional (financial) information via Experian (processing agreement), Creditsafe (see privacy statement creditsafe.nl) and/or Graydon (see privacy statement on graydon.nl).

If the quote does not become an order, your data will be stored for 24 months and when that period expires, your data will be anonymized.

If there is an agreement, VWP Shortlease will process and store all necessary personal data during the legal period of validity (48 months after the end of your contract).

Who do we share your personal data with?

VWP Shortlease is constantly developing processes to better meet your wishes and needs. For this development, we have a collaboration with CODE14 in Rijssen. CODE14 will gain access in the event of 'bugs' and when developing the VWP system and can view the processed personal data. CODE14 does not have the right to use or process this data.

All employees of the 'Sales' department have access to this personal data (this permission will be denied upon termination of employment). To ensure the ease of use on the website, we work with Martijn Scholten Organizational Advice. VWP Shortlease has concluded a processing agreement with this organization. IXL Hosting (processing agreement) and Oxxa (processing agreement) provide the online servers and may view personal data in the event of “bugs”. For other malfunctions, we use the services of Kawon ICT (processing agreement)

We process your personal data, if you have given your consent, to send out surveys asking for feedback on our services and other services related to the vehicle. Or to send information to keep you up to date with events, special offers and current and new products and services from VWP Shortlease.

We only store this information if you have permission to do so using the check box on the website. We may contact you for surveys or marketing communications, for example by email, phone, or post. We can also send newsletters, brochures or magazines. We will only send this to you if you have given your prior consent.

Leased car services

1.4.1 Vehicle Management.

What does this goal mean?

We process information that is necessary to manage your use of the vehicle and/or fuel card and to handle the daily management of the vehicle. To improve these services, we sometimes use data such as telematics to provide drivers with insight into and help them with more economical driving, driving behavior and more. When there is an agreement, a statement of commitment will be sent. To transport the vehicle, you can choose to use transport services. If you want to make use of an on-site inspection, an on-site inspection service will be used.

What personal data do we process for this purpose?

To do this, we process your name, address, email address, telephone number, license plate number, make, model and maintenance history of the lease car and other contact details.

In addition, you can provide us with certain vehicle management information, for example when you call VWP Shortlease or otherwise provide us with information.

Who do we share your personal data with?

We share the above information with SOS international,

Liemo Electronics bv, Leasewise, RRT GPS Trackers Travelcard, Easyway, Trackjack and autoinspectie.nl. We have concluded a processing agreement with all these parties to ensure your privacy.

Repairs, maintenance and tires

What does this goal mean?

We process information related to repair, maintenance and tire services for the lease car and its planning.

What personal data do we process for this purpose?

To do this, we collect your name, contact details, email address, telephone number, license plate number, make, model and maintenance history of the lease vehicle. In addition, you can provide us with certain vehicle management information, for example when you call VWP Shortlease or otherwise provide us with information. For example, your phone number to make an appointment to maintain the car.

Who do we share your personal data with?

We share information with third parties involved in maintaining or repairing the vehicle or changing or replacing tires (Profile-Tyrecenter, Autosoft and Onestopcarlease), such as dealers and garages, car mechanics and Digicreations. To guarantee your privacy, processing agreements have been concluded with these parties.

Accidents and fines

What does this goal mean?

We process information to register and deal with accidents and/or fines involving you or your vehicle in order to restore your mobility, deal with the damage or process the penalty. We will do this (i) by giving you the opportunity to report accidents to our customer service immediately, (ii) possibly providing roadside assistance or a replacement vehicle, and (iii) arranging repairs and other necessary follow-up. We may also use this information to evaluate claims handling and our policy about it.

What personal data do we process for this purpose?

To do this, we collect the following personal data: from ourselves: vehicle license plate, make, model and maintenance history and contact information about you: your name, address, contact details, vehicle details, accident details, photos of the incident, date of birth, number of occupants in the vehicle, witness information if applicable and any other information you provide us about the accident, including information about any third party injuries: from persons involved in the accident. are involved in an accident or insurance companies. Information about third parties involved in the accident or incident, such as the identity of your passenger (s), the driver and passengers of other vehicles, and other third parties involved.

Who do we share your personal data with?

In the event of a breakdown along the way, such as a flat tire or a mechanical problem, VWP Shortlease can arrange roadside assistance. We have concluded contracts with third parties for this purpose.

To do this, we collect the following information: your name, email address, mobile phone number, the license plate number of your vehicle and where help was requested and provided.

We share your information with third parties who provide roadside assistance services, towing services or a replacement vehicle.

1.7.1 Access control and security of VWP Shortlease buildings

Debtor management

1.8.1 Fulfilment of financial obligations

This concerns all data collected by the commercial department:

Additional information that is requested:

In the event of default, all this information is shared with a collection agency or carrier that can be engaged (in case of forced collection).

1.8.2 Processing customer data in the event of a criminal offence

At the request of official bodies (e.g. CJIB-Gemeentes-Cannock Police), name and contact details of the driver, vehicle details, location and time are communicated with the authorities involved.

1.8.3 Processing customer data after contract termination

Every year, all discontinued customers are set to “expire” in the system.

All customer data will be kept for a maximum of 7 years in order to demonstrate the legal validity of the contract and collection and in connection with possible control by the tax authorities.

After 7 years, all data will be removed from the paper archive.

What other people do we share personal data with?

In addition to the rules for sharing personal data for the purposes described above, we may also use external suppliers to perform certain processing for us, such as IT and associated infrastructure services, security including identity and access management, and legal, financial, accounting and similar other services.

Since these third parties have access to personal data as part of these processing operations, we have taken technical, organizational and contractual measures to ensure that your personal data is only processed for the above purposes. Only if we are legally obliged to do so can your personal data be provided to supervisory institutions, tax authorities and research services. How long do we keep personal data?

How long do we protect personal data?

Your personal data is treated as strictly confidential and VWP Shortlease has taken the necessary technical and organizational measures to protect it against loss or unlawful processing.
