Tips for your lease car
- When refueling, make sure you fill up with the correct fuel. Should you fill up with the wrong fuel, do not start the engine and contact us immediately.
- Check tires, air conditioning, oil levels and other fluids regularly according to your lease car's instruction booklet.
- Report any damage — no matter how minor — to us within 48 hours.
- Have maintenance carried out by an official brand dealer.
- Make sure you always have a claim form in the car.
Smoking and phone use
It is not allowed to smoke in our cars, if you do smoke, we will charge at least €490.00 excluding VAT. These costs can amount to the full gross cost of the damage suffered. Mobile phone use while driving the car is prohibited; in case of violation and damage, you can be held liable for the entire amount of damage! (Our insurance company is always investigating this).
Documents
Our cars have a copy of the license plate but no green card. Having the green card with you is no longer mandatory in the Netherlands and in a large part of Europe. This is why our cars no longer come with a green card as standard. If you do need a green card, you can send an email to: schade@vwpshortlease.nl with a request for a green card.
Maintenance
The manufacturer's instruction booklet tells you when your car needs servicing. To do this, make an appointment with your dealer in time, and mention that you are driving a car via VWP Shortlease. All our cars are entitled to replacement transport in the Netherlands, with the first 24 hours being borne by the contractor. Please keep this in mind when making a maintenance or repair appointment. In addition, check the tires, air conditioning, oil level and other fluids regularly according to your car's instruction booklet.
APK
New petrol cars and electric cars are subject to inspection after four years. For new cars that run on diesel or gas, that's after three years. The exact date can be found at www.rdw.nl. You can make an appointment with your dealer yourself. It is advisable to have the MOT coincide with maintenance.
Tyres
To replace tires and winter tires, you can make an appointment with a Profile branch near you (www.profile.nl).
Spare key
As standard, we deliver our cars with 1 key/key card. In the unlikely event that you need the spare key, you can contact us by phone or email (schade@vwpshortlease.nl).
Window damage
If you act quickly, greater damage can sometimes be prevented. In case of window damage, please contact Autoglas Vriend (national network):
- Phone number: +31 527 764 011
- Whatsapp: 06 25224325
Damage
Report damage to us within 48 hours by emailing us a fully completed European Claim Form (schade@vwpshortlease.nl).
In the following cases, we advise you to call in the police:
- in case of disagreement or doubt about the question of guilt
- physical injury to the person (s) concerned;
- if you suspect alcohol and/or drug abuse on the part of the other party;
- if there is uncertainty whether the counterparty has (valid) insurance;
- in the event of continuing to drive after the collision;
- in the event of a collision abroad.
If it is unsafe to continue driving your car, call us on +31 546 714 417.
thieving
Report theft to us immediately and report it to the police as soon as possible. You can report the theft of audio and/or communication equipment (including navigation system) with a completed claim form. Even then, a report to the police is necessary. Mail the completed claim form along with the copy of the declaration to schade@vwpshortlease.nl.
Insurance
The lease agreement includes third party insurance, hull insurance and Occupants Damage Insurance as standard. However, it is possible that you or your employer have made different agreements.
Please note that your property, goods you transport, loose private accessories, communication equipment and damage caused by you while driving speed rides and competitions or under the influence of alcohol, drugs, or medication are not insured.
Your lease car is insured in many European countries. For Eastern European countries (incl. PL/TSJ/SL/H/KR), however, different deductibles may apply, for more information about this, please send an email to: schade@vwpshortlease.nl.
Please note: The insurance only applies to the lease car. You must insure any trailer or caravan yourself (hull).
Replacement transport
Unless you or your employer have made other arrangements, you will receive a replacement rental car in the Netherlands if a repair takes longer than 24 hours. Replacement transport abroad is possible if this is explicitly indicated when concluding the lease agreement. (see also our additional services: replacement transport abroad)
Winter tires
If winter tires are included in your lease agreement, you can have them installed at a Profile location. The exchange is possible in October, November and December. The exchange should take place in March and April. You can make the assembly appointment via our website www.vwpshortlease.nl make (my lease car button, winter tire button).
Fuel Pass
If a fuel card is included in your lease agreement, in case of theft or loss, you should contact Travelcard, phone number +31 36 539 4788.
During this conversation, you will be asked for the license plate number on your fuel card. When returning your lease car, you must hand over the fuel card to the fleet manager or return it to VWP Shortlease. Please note: pass fees will continue as long as the fuel card has not been returned or deregistered.
Return - termination of the lease agreement
The lease agreement has been entered into for a fixed term, after it has expired, you have 3 options:
- You no longer need the car and log it out via our website (www.vwpshortlease.nl, my lease car button, lease car unsubscribe button).
- You renew your agreement and enter into a new agreement with a new term and/or annual mileage.
- You will continue to drive in the car under the conditions as they applied (the agreement becomes “flexible”) and from this moment on, the notice period is 5 business days.
